Serve as the initial point of contact for visitors and staff, cultivating a welcoming and professional atmosphere.
Efficiently manage incoming calls via Microsoft Teams and oversee visitor flow to ensure effective communication and a positive first impression.
Maintain the reception area’s cleanliness and coordinate mail, messenger services, and package deliveries.
Monitor Office Calendar to deliver consistent support for meetings, events, and daily operations.
Deliver prompt and proactive calendar oversight, meeting preparation, and scheduling assistance for the Senior Vice President, Finance & Administration.
Coordinate travel arrangements and process expense reports with accuracy.
Provide support to the SVP, Finance & Administration on projects and priority tracking as required.
Serve as the main point of contact for office supply management and workroom organization, including maintaining inventory proactively.
Act as the primary liaison for building maintenance and support requests.
Manage key fob distribution and administer door locking/unlocking schedules.
Administrative Team Support (HR & Events/Conference)
Support HR initiatives related to employee engagement activities, including staff birthdays, anniversaries, and farewell gifts.
Assist in organizing conferences and on-site events, including room setup, name badge and tent card preparation, AV configuration, and guest coordination.
Minimum of 3-5 years' experience in administration, facilities, or operations.
Strong organizational skills with ability to manage multiple responsibilities.
Professional communication and interpersonal skills; ability to build positive relationships across the organization.
Proficiency in Microsoft Office, Teams, and CRM systems.
