Position Overview:
NMQF is seeking a dynamic and experienced Events Associate to oversee the planning, coordination, and execution of its diverse portfolio of events and programs. The Events Associate will play a crucial role in driving engagement, fostering collaboration, and raising awareness of NMQF's mission and initiatives among stakeholders, including healthcare professionals, policymakers, community leaders, and the general public.
Key Responsibilities:
- Assist in the strategic planning and implementation of NMQF's events, including programs, conferences, symposiums, webinars, workshops, fairs and community forums.
- Collaborate with internal teams, external partners, and key stakeholders to identify event objectives, themes, and content areas aligned with NMQF's mission and strategic priorities.
- Develop comprehensive event plans, timelines, and budgets, ensuring adherence to established goals, deadlines, and financial parameters.
- Manage aspects of event logistics, including invoices and payments, venue selection, contract negotiation, vendor coordination, audiovisual setup, catering, and attendee registration.
- Coordinate marketing and promotional efforts to maximize event attendance and engagement, utilizing various channels such as email, social media, and website.
- Recruit, train, and supervise event staff, volunteers, and contractors, delegating tasks and responsibilities as needed to ensure seamless execution.
- Evaluate event success and effectiveness through post-event surveys, feedback analysis, and performance metrics, and generate recommendations for continuous improvement.
- Maintain accurate records and documentation related to events, including budgets, invoices, contracts, attendance lists, and participant evaluations.
- Stay informed about industry trends, best practices, and emerging issues related to event management, healthcare disparities, and health equity.
Education and Experience:
- Bachelor's degree in event management, hospitality management, marketing, communications, public health, or a related field.
- Minimum of 4-6 years of progressively responsible experience in event planning, preferably in a non-profit, healthcare, or public health setting.
Key Qualifications:
- Demonstrated expertise in strategic event planning, project management, budgeting, and vendor management.
- Strong interpersonal, communication, and negotiation skills, with the ability to build and maintain relationships with diverse stakeholders.
- Proficiency in event management software (e.g., Cvent, Eventbrite, Salesforce) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Creative thinking and problem-solving skills, with a proactive and results-oriented approach to event execution.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment, with a high level of attention to detail and accuracy.
- Commitment to NMQF's mission and values, including diversity, equity, inclusion, and cultural competence.
- Must have a valid driver's license.
- Must be able to lift 50 pounds.
- 80% Travel
Flexibility to travel and work evenings and weekends as needed to support event activities and initiatives.

Compensation:
- Salary: $60,000
- Location: Required to be based in DC area, mostly remote. Will occasionally be required to assist or meet with the team in office. Also required to travel.
- Start date: Beginning as early as July 2025.
