Job Summary
Kutak Rock LLP seeks an experienced Administrative Office Coordinator to join its Washington D.C. office. This vital front-facing role oversees day to day operations, providing proactive administrative support to firm attorneys, staff, and guests. The ideal candidate is an experienced professional who enjoys creating and maintaining positive and organized environments.
Responsibilities
- Implement general policies and procedures for the efficient and effective day-to-day operations of the office under the guidance of the Office Managing Partner and Regional Administrative Manager, ensuring office compliance with firmwide policies and procedures
- Create a positive, welcoming, collegial environment by exhibiting a strong adherence to customer service best practices and greeting visitors with hospitality, answer and direct calls and requests
- Liaise for office personnel, building management, and vendors, maintaining vendor relationships and communications for Regional Administrative Manager when requested
- Provide support with office related expenses procedures including invoices, expense reports, check requests for the local office
- Assist with the planning, scheduling, and organizing of office meetings and events
- Prepare, maintain and monitor lobby, conference rooms, kitchen, and office common areas and equipment
- Prepare offices for new hires, visiting attorneys and staff, including furniture needs, cleanliness, and re-activation of space after departures; managing visitor logs
- Coordinate conference room requests including any technology, catering, and equipment needs
- Maintain adequate levels of office and mail room supplies for all office personnel
- Physical and electronic file management and storage, including ensuring proper closure and/or destruction of files
- Coordinate the timely collection, sorting, logging, scanning, and distribution of incoming U.S. mail, interoffice mail, intra-office mail and overnight packages accurately
- Take responsibility for additional projects when requested
- Able to work overtime as needed
QUALIFICATIONS: Skills and Abilities
- Able to present a professional and positive first impression to office guests and staff
- Ability to effectively communicate both verbally and in writing with individuals on all levels, both internally and externally, with diplomacy and tact
- Ability to manage highly confidential personnel and administrative matters with discretion
- Ability to work well under deadline pressure while maintaining professional composure
- Highly organized and detailed oriented with the ability to multitask with efficiency amid frequent distractions and changing work priorities
- Ability to work independently and to build confidence and trust when working as part of a group
- Able to take initiative and problem solve in absence of clear direction
- Proactive with a process improvement mindset
- Proficient in Microsoft Office (Word, Excel, PowerPoint & Outlook) and Zoom, with the ability to learn new technologies quickly
QUALIFICATIONS: Education and Experience
- High School degree or equivalent required
- 5+ years of experience in administrative or office management
Position Information
Status: Non-Exempt
Salary Range: $60,000-$80,000 base salary per year, commensurate with education and experience.
Work Arrangement: In-Office
