JOB OVERVIEW:
- Location: Washington, DC or NYC (Hybrid / Remote) with up to 15% travel; preference for someone who can be hybrid from DC office
- Reports to: Senior Vice President of Strategy & Operations
- Position Type: Full-Time, Exempt
- Salary: Starting at $80,000 USD

SCOPE AND RESPONSIBILITIES:

Executive Support & Strategic Partnership
- Provide high-level support to MCCA’s executive team, including proactive calendar management, preparation of briefings and materials, and coordination of special projects.
- Anticipate needs and ensure executives are fully prepared for meetings, deadlines, and external engagements.
- Exercise sound judgment and discretion in handling sensitive information and representing executives internally and externally.
Operational Excellence & Process Improvement
- Take ownership of improving administrative systems and workflows; identify opportunities to streamline operations using technology and AI.
- Develop and maintain reporting tools, templates, and processes that enhance efficiency and accuracy.
- Regularly review existing practices and propose creative solutions that improve effectiveness across the organization.
Communication & Project Coordination
- Draft, edit, and proofread executive-level communications, presentations, and reports with accuracy, clarity, and alignment to MCCA’s voice.
- Capture meeting notes, track follow-up actions, and ensure accountability across leadership priorities.
- Manage and maintain MCCA’s project management tool to monitor workflows, deadlines, and deliverables for executives and cross-functional teams.
Board of Directors Support
- Act as the administrative liaison to MCCA’s Board of Directors, coordinating communications, meetings, and materials.
- Maintain strict discretion and confidentiality in all Board and executive matters.
QUALIFICATIONS:
Candidates will need to demonstrate (essential capabilities, ordered by importance):
- Technical & Professional Skills: You have at least 2 years’ experience managing executive calendars and scheduling, proven attention to detail, strong organizational and project coordination skills, and comfort using technology and AI tools to streamline workflows.
