Personal & Executive Assistant (Remote – Tampa Bay Area Required)
Location: Remote, but must be based in the Tampa Bay area
Our client, a busy executive at a law firm, is seeking a highly capable and proactive Personal & Executive Assistant to streamline and manage both professional and personal responsibilities. While this is a remote role, local candidates in the Tampa Bay area are required as there will be occasional in-person support needs, such as meetings or errands. The executive is based in the Tampa Bay area, and candidates must be willing and able to drive locally as needed.
This is a dynamic and high-trust position for someone who thrives in fast-paced environments, anticipates needs before they arise, and takes pride in creating order out of chaos. You’ll serve as a true right hand to the executive, helping keep her work and home life running smoothly.
Responsibilities
- Manage and coordinate the executive’s professional and personal calendars
- Anticipate scheduling conflicts and proactively resolve them
- Sit in on meetings, take notes, and follow up on action items
- Manage communication, email flow, and task tracking
- Coordinate travel arrangements, appointments, and logistics
- Assist with managing the executive’s child’s calendar and activities
- Run errands or handle personal tasks (virtually or locally if needed)
- Keep the executive five steps ahead by thinking proactively and acting with urgency
Qualifications
- High emotional intelligence and strong interpersonal skills
- Strong attention to detail and organizational abilities
- Discreet, trustworthy, and professional
- 20% travel required
- Comfortable with direct, fast-paced communication
- Able to juggle multiple tasks and prioritize effectively
- Tech-savvy and comfortable with modern tools
- 2+ years of experience in an administrative, personal assistant, or executive assistant role
- Must be based in the Tampa Bay area and willing to provide occasional in-person support
- Excellent written and verbal communication skills
- Ability to work independently and exercise good judgment
$60,000–$80,000 per year, depending on experience and location
